Account & getting started

What is ChatlyHQ?

ChatlyHQ is a Messenger-first workspace: visual automations (including AI Response and Webhooks), broadcasts, keyword replies, inbox, contacts and tags, and agency client workspaces — in one account. Available in beta. Connection availability depends on provider approval and your account eligibility. Messaging features become available after provider approval and connection setup.

Who is ChatlyHQ for?

Individuals running a Page, businesses that need faster Messenger and Instagram replies and campaigns, and agencies that manage client workspaces with clear separation.

How do I create an account?

Go to Sign in / Sign up, create your account, then choose Free, start the free trial, or pick a paid plan. You land in the dashboard — your main workspace.

Do I need a credit card to start?

No. Signup and the free trial (14 days or 1,000 messages, whichever comes first) do not require a credit card. Credit Card or PayPal is required only when you upgrade to a paid plan.

Where do I start after signing up?

Connect your Facebook Pages from Home, then explore Automation, Keywords, Inbox, Contacts, and Broadcasts from the side menu. The Learn page has a simple walkthrough.

Pages, Messenger & Instagram

Do I need a Facebook Page?

Yes. Connect a Facebook Page you administer for Messenger. You can also connect Instagram Business accounts for DM automations and inbox in the same workspace.

How do I connect Instagram?

Available in beta. Connection availability depends on provider approval and your account eligibility. Join beta to connect your account when access is available. Messaging features become available after provider approval and connection setup.

My Pages are missing after connecting. What should I do?

On Home, click Reconnect Pages, approve access again, wait a moment, then refresh. Confirm you are an admin of the Page.

Can I connect more than one Page?

Yes, within your plan limits. Free includes one channel; paid plans support more. Each Page shows on Home. Instagram can be connected as an additional channel.

Can I hide or remove a Page from ChatlyHQ?

Yes. Use the Page menu on Home to hide or remove a Page you no longer want in your workspace.

Automations

What are automations?

Automations are visual flows that reply or take actions when someone messages you, comments, or matches a trigger you choose — without answering every chat by hand.

How do I build an automation?

Open Automation, create or edit a flow, then add steps visually: Message, Delay, Split, Add/Remove Tag, Set Field, AI Response, Webhook, and more. Choose which Pages it runs on, save as draft while testing, then set it to Active.

What is the difference between draft and Active?

Draft lets you edit and test safely. Active means the automation runs for new matching conversations on the Pages you selected.

Can I share an automation with someone else?

Yes. You can share an automation link so another ChatlyHQ user can import a copy into their account as a draft.

Which Pages does an automation run on?

You choose the Pages when you set up the automation. It only runs on the ones you select.

AI Response

What does the AI Response node do?

In the flow builder, AI Response writes a helpful reply from a prompt you write — for example: greet the person and answer their question. It uses your OpenAI API key configured on the server.

Do I need my own OpenAI key?

AI Response uses the OpenAI API key set up for your ChatlyHQ environment. Ask your workspace admin or support if AI replies are not available on your account.

Is AI required to use ChatlyHQ?

No. You can use fixed messages, keywords, broadcasts, and inbox without AI. AI Response is optional inside automations.

How do I write a good AI prompt?

Be clear about tone and goal (for example: short, friendly, answer product questions, ask for their name). Test in draft before setting the automation to Active.

Webhooks

What is a Webhook node?

A Webhook step notifies another tool you already use (CRM, form, spreadsheet automation, etc.) when someone reaches that point in a flow. ChatlyHQ sends subscriber-related data to the URL you provide.

Do I need to be a developer to use webhooks?

You need a receiving URL from the other tool (many CRMs and automation apps provide one). Paste that URL into the Webhook node. For setup help on the other side, follow that tool’s docs or ask your developer.

When does the webhook fire?

When a contact reaches that step in an active automation. If they never reach that step, nothing is sent.

Broadcasts

What are broadcasts?

Broadcasts are campaigns you send to people who already messaged your Page. Delivery follows Facebook Messenger messaging rules and your plan’s monthly message limit. Page broadcasts are Messenger-only today.

How do I send a broadcast?

Open Broadcasts, start a campaign, select Pages/channels, choose the audience (for example active in the last 24 hours or contacts with certain tags), write the message, then send now or schedule for later.

Can I schedule a broadcast?

Yes. Choose a later date and time when creating the campaign. Your Settings timezone is used for scheduling.

How do I see if a broadcast worked?

Open the Broadcasts list to watch progress — sent, delivered, reads, and clicks when those metrics are available. Some broadcasts also support simple A/B tests.

Why didn’t everyone receive my broadcast?

Messaging windows and platform rules apply (for example, some sends are limited to recent conversations). Your plan’s monthly message quota also caps how many messages you can send.

Keyword replies

What are keyword replies?

Instant replies when someone sends a specific word or phrase (for example “price” or “hours”). They are simpler than full automations and great for common questions.

How do I set up a keyword?

Open Keywords, add a rule, type the words or phrases to match, write the reply, attach it to the right Pages, save, and keep the rule turned on.

Can one keyword work on several Pages?

Yes. Attach the rule to every Page where you want that reply.

Inbox & live chat

What is Inbox?

Inbox is where you read and answer conversations from your connected Messenger and Instagram channels in one place.

How do I reply to someone?

Open Inbox, pick a Page, select a conversation, type your reply, and send it from ChatlyHQ.

What is Live Chat?

Live Chat lets you talk as a human without automations interrupting. When you turn it on for a contact (when available), automations pause for that person until you turn it off.

Will automations keep running while I’m chatting?

If Live Chat is on for that contact, automations pause. Otherwise, active automations and keywords can still reply according to your rules.

Contacts & tags

What are Contacts?

Contacts are people who messaged your channels. Use Contacts to browse, search, filter, tag, export, and build broadcast audiences.

Are contacts limited by plan?

Unlimited Contacts are included on every plan. Your monthly message quota still applies to outbound messages.

How do tags work?

Tags help you organize contacts (VIP, interested, leads, and so on). Add tags from a contact profile, in bulk, or from automation steps. You can also filter and target broadcasts by tag.

Can I export contacts?

Yes. Select contacts and use bulk actions to export a CSV when you need a list outside ChatlyHQ.

What is Profile Unify?

Profile Unify copies personal details between two profiles on the same Page when you want one set of fields. Message history stays separate.

Clients & agencies

Can agencies use ChatlyHQ?

Yes. Manage plan and above support client workspaces so you can invite clients, open their accounts, and keep work separated. Custom Unlimited is available via contact sales.

How do client workspaces stay separate?

Each client works in their own workspace and connects their own Pages. Campaigns and contacts stay inside the workspace you are viewing — they do not mix across clients.

How do I invite a client?

From Team (when available on your plan), invite a client or create a sub-account, then switch between workspaces as you manage more than one client.

Plans, billing & trial

What plans are available?

Starter (10,000 msgs), Pro (50,000), Business (100,000), Manage (300,000), VIP (1,000,000), and Agency (2,000,000 included). Platform Unlimited remains admin/custom. Full prices are on the Pricing page; yearly billing is 10% off.

Is there a free trial?

Yes. Every paid plan offers a free trial of 14 days or 1,000 messages (whichever comes first) with no credit card. You can upgrade later to any plan — not only the one you trialed.

What happens when my trial ends?

Your free trial ends after 14 days or when you use 1,000 messages — whichever comes first. After that, all features stop until you upgrade with Credit Card or PayPal. You can still open Pricing and choose any plan.

Where do I see usage and renewals?

Open Plan in the app to see your current plan, message usage, and renewal details. Change or upgrade from Pricing when you need more volume.

What happens when I hit my message quota?

Outbound sends pause until the next billing cycle or you upgrade; automations and inbox still work for reading/replying within limits shown in-app. Unlimited contacts are always stored — pricing is based on message volume, not contact count.

What counts toward my message limit?

Automation, broadcast, AI response, keyword reply, and any other outbound messages you send through ChatlyHQ count toward your monthly quota. Exact usage is shown on the Plan page.

What happens if someone signs up with an Affiliate code or link and starts a free trial?

They appear in the affiliate’s referrals with $0 payment and $0 commission during the free trial. When they later complete an eligible successful payment, the referral updates and a 10% commission is calculated under the program rules. Commissions are not paid out instantly and may change if a payment is refunded or disputed.

Languages & settings

Which languages does the site support?

The marketing site and app UI support English, Arabic, Hindi, Portuguese, and Spanish. Use the language switcher in the header to change locale (URLs use /en, /ar, /in, /pt, /es).

Can I set a timezone for schedules?

Yes. Open Settings to set your timezone. Scheduled broadcasts use that timezone.

What are saved links in Settings?

You can store useful URLs you reuse in many cards or messages so you don’t retype them every time.

Security & migration

Is my data secure?

Provider tokens and credentials are encrypted at rest. Workspace access uses role-based permissions. We do not sell your data. See the Privacy Policy for Meta data handling and owner support access.

Can I migrate from another platform to ChatlyHQ?

Sync existing Messenger subscribers so you do not start from zero. Import shared automation links when available and rebuild flows in the visual builder. Email support@chatlyhq.com for high-volume migration guidance.

What happens when I hit my message quota?

Outbound sends count toward your plan quota. When you reach the limit, new outbound messages are blocked until you upgrade or your billing period resets. Usage is shown on the Plan page in Settings.

Which channels are supported?

Messenger and Instagram are live (automations, inbox; broadcasts on Messenger). WhatsApp and Telegram are beta. TikTok: connect your account — outbound messaging depends on approval and server configuration.
